Send from your own domain
Send the company's email from its own domain: add the DNS records at your domain host once, let Combdex check them, and keep your mailbox as it is.
On this page
A sending domain lets the company's email go from its own domain, for example office@ your domain. Without one, email goes from the shared Combdex address, with the company name as the sender. You add the DNS records once at your domain host, and Combdex checks them by itself.
Available on web. A user with the permission Edit company profile does this once for the company. Super admins and Admins hold it by default. The phone shows the domain's state in Settings, Email, and opens the web page to set it up.
Why add DNS records?
A receiving mail server checks that a domain allows a service to send for it. The DNS records are that proof. Mail that claims a domain without the proof is rejected, or goes to spam. The records let Combdex sign each email for your domain.
How do I set up the domain?
- Open Settings, Email. The Sending section is on the first tab.
- Type your domain under Domain, for example example.com.
- Press Add domain. The page lists the DNS records, each with its Purpose, Type, Name, Value, Priority and Status.
- When Combdex knows your domain host, the page names it, with a help link for that host.
- Open the DNS editor at your domain host. Add each record with the same Type, Name and Value. An MX record also needs its Priority.
- Return to Combdex. The records are checked by themselves.
Each name and value has a copy control. The records are unique to your company. If someone else runs your DNS, press Share with the person who runs your website. Combdex copies the records as text for you to send.
How is the domain checked?
Combdex checks the records every 10 minutes for 72 hours after you add the domain. The status line says when the last check ran and when the next one runs. Press Check now to check at once. After 72 hours the automatic checks stop; add the records, then press Check now.
A new record can take up to 48 hours to show on the internet.
Which address does the email go from?
The address is on the Sending address line. Combdex selects the part before the @ in this order:
- The value an admin types in Sending address.
- The company email on the company profile, when that email is on the sending domain. For example, info@ your domain sends as info@ your domain.
- hello.
To change the address, type the part before the @ and save. Use lowercase letters, numbers, dots, hyphens or underscores. To go back to the company email or hello, clear the field and save. The From line of the composer shows the same address.
What do the statuses mean?
| Status | What it means |
|---|---|
| Not started | The record is not checked yet. |
| Checking | The record is not verified yet. Combdex checks again. |
| Verified | The record is correct. When the domain is Verified, email goes from your domain. |
| Failed | The record is not correct. Compare it with the page, then press Check now. |
What else does the page suggest?
Under the records, the page can show two suggestions:
- SPF: when your domain has an SPF record, the page gives the one record that lets both your mailbox and Combdex send. Replace your SPF record with it. A domain has one SPF record, never two.
- DMARC: when your domain has none, the page gives one to add. Gmail and Yahoo score email lower from a domain that has no DMARC record.
A record that is present and complete shows nothing.
What must I not change?
Your domain receives mail through its MX records on the root of the domain. If you replace or remove them, your mailbox stops receiving mail. Add the new records beside the existing records, and change nothing on the root of the domain.
The records from Combdex go on subdomains of your domain. They do not change where your mail arrives.
What if a check fails?
| Problem | What to do |
|---|---|
| The record shows Checking | The record is not visible yet. Wait. A record can take up to 48 hours. |
| The name is wrong at the host | The host adds your domain to the name itself. Type only the part of the name before your domain. |
| The host refuses the record | A record with the same name and type exists. Replace it only if it is an earlier record from Combdex. Never replace an MX record on the root of the domain. |
| The check still fails after 48 hours | Compare each type, name and value with the page, letter by letter. If they agree, remove the domain and add it again, then add the new records. |
How do I stop sending from my domain?
- Open Settings, Email.
- Open More domain actions in the Sending section and press Remove domain.
- Confirm. Email goes from the shared Combdex address again.
Then delete the records from Combdex at your domain host.
What Combdex does not do yet
- A company has one sending domain at a time, and a domain belongs to one company.
- Combdex does not receive mail on your domain. Replies go to the reply address of the company.
To write and send email, see Writing and sending email. For the words of each email, see Email templates and signature.
Questions people ask
Do I need a sending domain?
No. Without one, email goes from the shared Combdex address, with the company name as the sender. A sending domain puts your own domain in the From address.
Does this change my existing mailbox?
No. The records go on subdomains of your domain. Your mailbox and its MX records on the root of the domain stay as they are, and keep receiving mail.
Do I have to press Check records again and again?
No. Combdex checks the records by itself every 10 minutes for 72 hours after you add the domain. Check now runs a check at once.
I do not manage our DNS. What do I do?
Press Share with the person who runs your website. Combdex copies the records as text. Paste it in an email to that person.
Can I use a free mail address?
No. A free mail domain belongs to its mailbox provider, and only the owner of a domain can add its records. Use a domain the company owns.
