Email templates and signature
The company's email templates, the built-in ones behind the automatic emails, where each template is used, and the signature each user sets.
A template is the subject and the message an email starts from. Each company has one list of templates, and the automatic emails (reminders, receipts, form replies) use the built-in ones. Each user has their own signature, which goes under every email they write.
Templates are on web. The signature is on web and the mobile app.
Where are the templates?
Open Settings, Email, then the Templates tab. Each row shows the template's Name, its Kind, where it is used (Use on), how many times it was Used, and when it was Last used.
Users with the permission Edit company profile add and change templates. Super admins and Admins hold it by default. Every other user can use each template from Template in the composer.
Which templates are built in?
Every company starts with one built-in template of each kind. In the composer, the templates for the open record show first.
| Kind | Use on | Where it is used |
|---|---|---|
| General | Any record | Any email |
| Quote | Quote | The email that sends a quote |
| Quote follow-up | Quote | A follow-up on a quote that is out |
| Quote expiring | Quote | A note before a quote's expiry date |
| Invoice | Invoice | The email that sends an invoice |
| Invoice reminder | Invoice | The automatic reminders for an overdue invoice |
| Payment receipt | Invoice | The automatic receipt for a payment |
| Form reply | Lead, contact | The automatic reply of a form, and an answer to a form submission |
| Appointment confirmation | Session | The time and the Location of a session |
| On the way | Session | A note that you are on the way |
| Work complete | Project | A note that the work on a project is finished |
Seven more built-in templates hold the words of the service plan emails: Service plan started, Service plan price change, Service plan paused, Service plan cancelled, Payment failed, Card expiring and Save your card. Combdex sends them by itself.
A change to an automatic template changes the next email of its kind. A field in a template that has no value uses the built-in wording for that email. A form with its own message in the Automatic reply card sends that message, not the Form reply template. See Building a form.
The built-in wording follows one rule: one fact per sentence, and every amount, number and date is a field, never typed into the words. The email carries the button to the quote or invoice and your signature, so a template has no closing line.
How do I add a template?
- Open Settings, Email, Templates.
- Press New template.
- Type a Name and pick a Kind.
- Tick the record types under Use on. With none ticked, the template is for any record.
- Under Attachments, tick Quote PDF or Invoice PDF if the template must attach the file.
- Write the Subject and the message. Type
{{or/, or press Insert field, to add a field. - Pick a record under Preview with to read the email with that record's values.
- Press Save template.
A field in a template works as in the composer: it prints the value of the record, or its fallback. See Writing and sending email.
How do I change or delete a template?
- Click the name of the template in the list.
- Change the words, then press Save template.
On a built-in template, Reset to the built-in wording returns the original text. On a template you added, Delete template removes it. Emails already sent keep their words.
How do I set up my signature?
The signature goes under every email you write. Each user sets their own.
- Open Settings, Email, then the Signature tab.
- Turn on each part you want to show.
- Read the result under Preview.
Each switch saves at once. On the phone, the same switches are in Settings, Email, and they save with no signal.
| Switch | Where the value comes from |
|---|---|
| Logo | The company profile |
| Your name | Your profile |
| Your job title | Your profile |
| Business name | The company profile |
| Your phone | Your profile |
| Business phone | The company profile |
| Business email | The company profile |
| Website | The company profile |
| Business address | The company profile |
A part with no value prints nothing. Its label shows in grey until the profile has a value. To fill the company facts, see Set up your company.
What does a new email start with?
The New email section of the Signature tab holds one switch: Add the signature. With it on, your signature goes under each new email. The composer shows the signature as it sends.
What Combdex does not do yet
- Templates cannot be written or changed on the phone. The phone uses them from the composer.
- A template has no folders and no shared drafts. The list is one flat list per company.
- A template cannot send itself on a schedule, for example a Quote expiring note two days before the date. Send it from the quote; see Expiry, decline, duplicate and convert.
Questions people ask
Can I delete a built-in template?
No. A built-in template can change, but it cannot be deleted. Press Reset to the built-in wording to return to the original text.
Does a change to a template change emails already sent?
No. An email keeps the words it was sent with. The change applies to the next email that starts from the template, and to the next automatic email of its kind.
Can a template attach the PDF?
Yes. Under Attachments in the template editor, tick Quote PDF or Invoice PDF. Picking the template in the composer then attaches the file. The built-in templates attach nothing.
Why is my phone number not in my signature?
A part of the signature with no value prints nothing. Add your phone number to your profile. The part then prints in the next email.
