AI quote from a voice note

Speak the job on the driveway and Dex drafts the quote from your own catalog, in your own style. How voice-to-quote works and where it fails.

An AI quote from a voice note is a quote that Dex, the Combdex assistant, drafts from what you said standing at the job. He transcribes the note, finds the contact, matches the work to your own catalog, writes the lines in your own style, and saves a draft for you to read, publish and send. It is on every plan, within the plan's AI allowance, and it never sends anything to a customer on its own.

How does voice-to-quote work in Combdex?

Open Dex on the phone, tap the microphone in the composer, and describe the job as you would to a colleague. Then:

  1. The note is transcribed into the composer. The words land as a draft message, not a send, so you read what the machine heard before Dex acts on it. Send it when it reads right.
  2. Dex finds the contact by the name, phone or email you said, from your own contacts. One match is linked. Two matches, and he asks which one before he drafts anything. No match, and the card offers Add contact.
  3. Dex matches the work to your catalog. "Replace the operator with the LA500" becomes your "Gate operator replacement, furnished and installed" line, at its catalog price. "Reuse the loops and photo eyes" becomes your labour line for reconnecting existing safety devices, in the words your quotes already use.
  4. Dex writes the rest of the quote in your style: the comments ("No concrete work. Existing photo eyes reused."), your default tax rate, your default terms, an expiry date.
  5. A card shows the draft. It lists the contact, the Billing address, the Location, the lines and the prices. Press Create quote and Combdex saves a draft quote and opens it.

The draft has no number yet; the number comes when you publish. You read it, change the wire quantity, add the deposit to the payment schedule, and press Publish. The quote then behaves like every other quote: a link, a signature, a locked accepted version (sending, acceptance and signature).

The same thing works from typed text, in the Dex chat on the web or the phone, or with Draft with Dex on the new quote form on web. The step-by-step is in quote from a voice note.

What does it get right?

The parts that are lookups and the parts that are habits. Contacts, catalog items, your prices, your bundled descriptions, your tax rate, the way your quotes are worded: those come from your data and your history. Dex has a memory of how your company writes: a company profile, plus what he learns in conversation, journaled and consolidated every night, with a retention window you set (memory, briefing and privacy).

It is also fast where fast matters: the note is spoken on the driveway, and the draft is waiting when you open it.

Where does it fail?

In five places, and the first two are the ones that cost money:

  • A product that is not in your catalog. Dex can only match what you sell. Say "the new keypad, about five hundred" for a keypad you have never quoted, and the line carries the five hundred you said.
  • Silence about the missing match. Today the card does not always say which lines had no catalog price, so a spoken guess looks the same as a catalog price. Read every price. The fix is the catalog: add the item once, with its description and price, and the next quote finds it.
  • A quantity you mumbled. "Three hundred feet" and "thirty feet" are one syllable apart on a windy driveway. Read the transcript before you send it, and read the quantities on the draft.
  • Scope you did not say. If you did not mention the exclusions, they are not in the comments. Dex writes what you said in the way you usually write it; he does not add the clause that would have saved the dispute. That clause is still your job, and the quoting guide shows where it goes.
  • The payment schedule. Dex does not set the deposit or the instalments. Add them on the draft before you publish.

Every one of those is caught by reading the draft, which is why the draft is the product and the send is yours. The voice-note guide is the same list from a real gate job.

What about privacy?

Dex signs in as you and reads under your permissions, so he sees what you see and nothing more: not another company, and not money if your access does not include it. He has no web access. Text from outside (a transcript, a form, an email) is treated as data, not instructions. Turn on Incognito and the conversation leaves nothing in his journal. The Usage tab on the assistant settings shows what has been spent against your plan's allowance. The model behind Dex can change without the product changing, and Combdex does not sell a vendor's name as a feature. What Dex can do lists every action and the card each one shows.

What Combdex does not do yet

  • Dex does not always tell you which lines had no catalog match. Read every price.
  • Dex does not set the payment schedule on a draft.
  • Dictation and drafting need a connection. With no signal, record a voice note on the contact's Notes tab, or write the quote by hand: both work offline (how offline works).
  • Dex does not publish, send or browse.

Build your catalog first, and the first voice note has something to match against. The Dex app page covers everything else he does, and quoting software covers the quote itself.

Questions people ask

Does the AI send the quote to the customer?

No. Confirming the card saves a draft quote. You read it, fix what needs fixing, press Publish and send it yourself. Nothing reaches a customer without a person pressing the button; that is a rule of the whole assistant, not a setting.

Where do the prices come from?

Your catalog, when a line matches an item you sell. When nothing matches, the line carries the price you said. Today Dex does not always tell you which lines had no catalog match, so read every price on the draft.

What if I mention a product that is not in my catalog?

It becomes a line you have to check. The draft is only as good as the catalog behind it, which is why the first week with Dex is usually spent tidying the catalog rather than talking to him.

Does it work from typed text too?

Yes. Type the job instead of speaking it and the same card appears. On web, Draft with Dex on the new quote form fills the form from a typed description. Voice is the version for the driveway; text is the version for the office at 9 pm.

Which plan do I need?

Every plan, within its AI allowance. The entry plan carries a smaller monthly allowance; the larger plans carry more. The pricing page shows what each plan includes.
